Visit our homepage and click Get Started. Fill in your school name, administrator name, email, and phone number. Our team reviews each registration and activates accounts within 24 hours on business days. You will receive an email with your login credentials once approved.Getting Started
Navigate to Student Records and click Add Student. Fill in the required fields: first name, last name, date of birth, gender, class, and guardian information. You can also add optional fields like medical notes or emergency contacts. Click Save to add the student.Students & Attendance
Go to Attendance and select the class and date. You will see a list of all students in that class. Mark each student as Present, Absent, or Excused. You can also use the Mark All Present button and then adjust individual students. Click Save when done.Students & Attendance
Go to Examinations, select the exam, and click Enter Marks. You can enter marks for each student individually or use the bulk entry mode for faster input. The system validates marks against the maximum allowed and highlights any out-of-range entries.Exams & Results
Go to Fees, find the student, and click Record Payment. Enter the amount paid, payment method (cash, bank transfer, mobile money), reference number, and date. The payment is reflected in the student's balance immediately.Fees & Billing
Go to your Profile, select Change Password, and follow the prompts. You will need to enter your current password before setting a new one. Passwords must be at least 8 characters and include a mix of letters and numbers.Account & Settings

Getting Started

Learn Tech is a cloud-based school management platform designed for Tanzanian schools. It helps administrators, teachers, bursars, and parents manage student records, examinations, results, attendance, and fee collection from one centralized system.
Visit our homepage and click Get Started. Fill in your school name, administrator name, email, and phone number. Our team reviews each registration and activates accounts within 24 hours on business days. You will receive an email with your login credentials once approved.
Go to the login page and enter the email and password provided in your activation email. After your first login, we recommend changing your password from the Profile page. Your session stays active until you log out or your browser is closed.
Learn Tech works on any modern web browser — Chrome, Firefox, Safari, and Edge. It is fully responsive and works on desktops, laptops, tablets, and smartphones. No app installation is required.
Yes. School administrators can add teachers, bursars, and other staff from the Staff Management section. Each user is assigned a role (Director, Head Teacher, Class Teacher, Bursar) that determines what they can see and do in the system.
The platform supports five main roles: Director (full access), Head Teacher (academic management), Class Teacher (class-specific access), Bursar (fee and financial management), and Parent (read-only access to their child's information). Each role has specific permissions.

Students & Attendance

Navigate to Student Records and click Add Student. Fill in the required fields: first name, last name, date of birth, gender, class, and guardian information. You can also add optional fields like medical notes or emergency contacts. Click Save to add the student.
Yes. School administrators can bulk import students. Go to Student Records, click Import, and download our CSV template. Fill in the template with your student data, then upload it. The system validates each row and reports any errors before importing.
Find the student in Student Records using the search bar or filters. Click on their name to open their profile, then click Edit. Update any field and click Save. All changes are logged for audit purposes.
Yes. Go to the student's profile and select Archive. The student is removed from active lists and class counts but their records remain accessible for historical reporting. Archived students can be restored if needed.
Go to Attendance and select the class and date. You will see a list of all students in that class. Mark each student as Present, Absent, or Excused. You can also use the Mark All Present button and then adjust individual students. Click Save when done.
Yes. Go to Attendance and click Reports. You can generate attendance summaries by class, date range, or individual student. Reports can be exported as PDF or CSV for record-keeping.
If parent access is enabled, parents can log in to their portal and view their child's attendance history. They can see daily attendance, monthly summaries, and any excused absences with notes.

Exams & Results

Go to Examinations and click Create Exam. Enter the exam name, subject, class, date, and maximum marks. You can also set a passing grade threshold. Once created, teachers can begin entering marks.
Go to Examinations, select the exam, and click Enter Marks. You can enter marks for each student individually or use the bulk entry mode for faster input. The system validates marks against the maximum allowed and highlights any out-of-range entries.
Grades are automatically calculated based on the grading scale configured by your school administrator. The system supports custom grade boundaries (A, B, C, D, F) with configurable mark ranges. You can review calculated grades before publishing.
After entering all marks and reviewing the calculations, click Publish Results. This makes the results visible to parents (if enabled) and generates the official term report cards. Published results cannot be edited without admin approval.
Yes, if parent access is enabled. Parents can log in to their portal and view their child's examination results, term averages, and class positions. They can also download or print report cards.
Yes. From the Results section, click Export and choose your format (CSV or Excel). You can export individual class results, subject results, or the entire school's results for a specific term.

Fees & Billing

School administrators can define fee structures from Settings. Create fee categories (tuition, meals, transport, uniforms) and set amounts per class or term. Fee structures can be copied from previous terms.
Go to Fees, find the student, and click Record Payment. Enter the amount paid, payment method (cash, bank transfer, mobile money), reference number, and date. The payment is reflected in the student's balance immediately.
Yes. After recording a payment, click Print Receipt on the payment record. The receipt includes school details, student name, amount paid, payment method, date, and a unique receipt number. Receipts can be downloaded as PDF.
Navigate to Fees and select Outstanding. This shows all students with pending payments, filterable by class, term, or fee category. You can also see the total outstanding amount per class or for the entire school.
Yes. Parents can log in to their portal and view their child's fee balance, payment history, and upcoming payment deadlines. They can also download receipts for past payments.
The system supports partial payments. When recording a payment, enter the amount actually paid. The remaining balance is automatically calculated and displayed. You can set minimum payment thresholds if needed.

Account & Settings

Go to your Profile, select Change Password, and follow the prompts. You will need to enter your current password before setting a new one. Passwords must be at least 8 characters and include a mix of letters and numbers.
Click the theme toggle button in the top navigation bar. Your preference is saved automatically in your browser and remembered on your next visit. You can switch back to light mode at any time.
School administrators can update the school name, logo, contact information, and address from Settings. These details appear on report cards, receipts, and official documents generated by the system.
All data is encrypted in transit (TLS) and at rest. We use industry-standard security practices including regular backups, access logging, and role-based permissions. Student data is never shared with third parties.
Yes. Administrators can export student records, examination results, attendance data, and fee records as CSV or Excel files. Exports include all historical data for the selected date range.
